Situations will arise where the parties agree upon the use of a judge. Once this happens, the local office supporting the judge would need to convey the following details by e-mail to the manager of the scheduling office:
- The date(s) the judge is available and,
- The working hours maintained by the judge
Thereafter, the scheduling office would need to ensure the availability of their videoconference hearing room. In accordance with the procedures given earlier in this document, officers have the ability to reserve all videoconference hearing rooms in MS-Outlook. Once the hearing is scheduled, officers would need to add the relevant details in both:
- MS-Outlook and,
- The Global Case Management System (GCMS)
Appointments would need to follow the regular allocation of time for hearings.
An officer would need to review a file for completeness before handing over the file to the support staff for scheduling. In addition, the officers would also need to complete the preparation of the file as per the instructions given.
